Not every person on a film set needs access to the same information. Permissions in MriiaFilms let you share the project with your team without exposing budgets, contracts or private notes.

This article walks through each role and what they can access across: Script, Tasks, Budget, Breakdown, Shot List, Files, Call Sheet, Calendar, Casting and Contracts.

Roles at a Glance MriiaFilms uses 5 simple roles on each project:

Owner – The person who created the project; full access to everything.

Producer/Admin – Helps run the project; almost full access, including finances and contracts.

Department Lead – Head of a department (camera, art, sound…); sees what they need to do their job, not the whole budget.

Contributor – Cast and crew members who need call sheets, tasks and files, but not sensitive data.

Viewer – Read‑only access; perfect for clients, investors or people shadowing the project.

image Why Permissions Matter for Film Teams

This structure is designed around real film workflows:

Producers keep control of money and legal documents (Budget & Contracts).

Department Leads get everything they need to plan their work (Breakdown, Shot List, Files, Call Sheet, Calendar, Casting).

Contributors only see what’s relevant to their job and call time.

Viewers can follow the project without accidentally changing anything.

Example: You invite a DP as Department Lead. They can see the script, breakdown, shot list, files, call sheet and calendar, but not your total budget or private contracts with actors. This keeps things professional and minimizes awkward conversations.

Recommended Setup Per Project Here’s a simple way to assign roles:

Owner – Main producer/director who opened the project.

Producer/Admin – Line producer, production manager, or trusted co‑producer.

Department Lead – DoP, 1st AD, Production Designer, Sound, Costume, etc.

Contributor – Cast, extras, assistants, interns, HMU, PAs.

Viewer – Client, brand, investor, school, festival partner.

How Contracts Fit Into Permissions

Contracts are sensitive by design. In your matrix, only Owner and Producer/Admin can see the Contracts tab.

This means:

Actors and crew cannot see other people’s contracts.

Department Leads can coordinate work but don’t see rates or legal terms.

All signed PDFs stay inside the project but restricted to production.
